Terms of service
Version of 20 October 2026. Coofi, KvK 42214936. This text is being reviewed by our lawyer before launch.
The short version
- You own your content. We use it only to run Coofi for you, and never to train AI.
- The AI prepares work. You approve anything that goes out in your name, and you are responsible for what you approve.
- Plans are paid monthly or yearly, and include credits for each period. Cancel at any time.
- This summary is not the agreement. The sections below are.
1. Who we are
Coofi is provided by Coofi, postal address Avenue Céramique 221, 6221 KX Maastricht, registered with the Dutch Chamber of Commerce under number 42214936 (“we”, “us”).
These terms apply to every use of Coofi and to every plan, top-up and domain you order through it. Your own general terms do not apply. Our privacy statement explains how we handle personal data; for the personal data you put in Coofi, our data processing agreement applies and is part of these terms.
2. Your account
Coofi is for businesses. By opening an account you confirm that you act for a business or in your profession, not as a consumer, and that you may bind that business.
Keep your sign-in details to yourself and switch on two-step sign-in. You are responsible for what happens under your account, including what the team members you invite do in it. Tell us straight away if you think someone else has access.
3. Plans, trial and payment
The plans, their prices and what they include are on the pricing page. Prices are in euros and exclude VAT. You pay monthly or yearly in advance, through our payment provider Stripe.
The free trial lasts 14 days. To start it you add a card; nothing is charged during the trial, and nothing after it unless you choose a plan. A card gets one free trial. We may refuse or end a trial that is misused.
You can change your plan in the app. An upgrade starts at once and you pay the difference for the rest of the period; a downgrade starts at the next period. You can pause a plan, and you can cancel it at any time: it then ends at the end of the period you have paid for. Paid periods are not refunded, unless the law requires it.
If a payment fails, we may limit the use of Coofi until it is paid. We announce price changes at least 30 days ahead; they apply from your next period, and you may cancel before then.
4. Credits
Each plan includes credits for every billing period, which starts on the day of your own plan, not on the first of the month. The credits a job uses are calculated after it has finished, from the AI work it actually needed; before you start, Coofi shows an estimate. A job that fails costs no credits. A job stopped by its limits (no credits left, over its estimate, or repeating itself) counts for the work it did.
Credits are shared by all businesses on your account. Unused plan credits do not carry over to the next period. A top-up gives the credits its amount buys, excluding VAT and less the payment fee; top-up credits stay valid for 12 months and are used after your plan’s. Credits have no cash value and cannot be refunded or transferred. When they run out, new work waits until you top up or your next period starts.
5. Your content
What you put in Coofi, and what the team makes for you, belongs to you. You give us the right to store and process it only to provide Coofi to you. We do not use it to train AI models, and we do not let our providers do so.
You confirm that you may use what you put in Coofi, including the personal data of your customers and contacts, and that you have a legal basis to let Coofi work with it. Coofi itself, its software and its design remain ours.
6. AI work and your approval
Coofi’s team is AI. Its work can be wrong, incomplete or similar to existing material. Check it before you use it. Coofi does not give legal, tax, financial or other professional advice.
Anything that goes live, is sent in your name, touches money or is legally binding waits for your approval. When you approve it, it is your action and your responsibility, including following the rules that apply to it, such as permission to email someone. A website you publish through Coofi is published by you.
7. Acceptable use
You may not use Coofi to:
- break the law or anyone’s rights, or publish content that is unlawful, misleading or hateful;
- send messages to people who did not agree to receive them, or pretend to be someone else;
- spread malware, or attack, scan or test the security of Coofi without our written permission;
- get around limits, credits or the approval step, or resell access, except to clients on an Agency plan;
- process special categories of personal data (such as health data) unless you have a legal basis and told us first;
- do anything the EU AI Act prohibits.
If you do, we may stop the work concerned or suspend your account. Where we can, we tell you first and give you the chance to fix it.
8. Third-party services
When you connect a service of your own, such as your mailbox, bookkeeping or social media, its own terms apply and Coofi acts on your instruction. We are not responsible for those services or for whether they are available.
A domain you buy through Coofi is registered through our registrar and follows the rules of its registry. We renew it only after you have paid for the renewal.
9. Availability and changes
We work to keep Coofi available and safe, but we cannot promise it will always be available or free of errors. We announce planned maintenance when it affects you.
Coofi changes over time. We tell you by email at least 30 days before a change to these terms that is to your disadvantage. If you do not agree, you can cancel before the change applies.
10. Liability
Our liability is limited to direct damage and to the amount you paid us in the 12 months before the event that caused it. We are not liable for indirect damage, such as lost profit, lost revenue or damage to reputation, nor for the consequences of work you approved.
These limits do not apply to damage caused by our intent or deliberate recklessness. Report damage to us in writing as soon as you can and at the latest within 12 months after you discovered it.
11. Ending the agreement
You can stop at any time: cancel your plan, or delete your account in the app. A deleted account can be restored within 14 days; after that your personal data is removed within 30 days, and backups roll off within 14 days more. Export what you want to keep first.
We may end the agreement with 30 days’ notice, or at once if you seriously breach these terms or do not pay after a reminder.
12. Law and disputes
Dutch law applies; the Vienna Sales Convention (CISG) does not. Disputes go to the competent Dutch court for the district where we are established. Where these terms and the data processing agreement differ on personal data, the data processing agreement applies.
